Calendar sync
There are two tools on your bookings page and they work in opposite directions. Export sends your myquack bookings out to Google, Apple or Outlook. Import brings bookings in from wherever you work now, so myquack knows when you are already busy. Both are optional and you can use one without the other.
1. Export — add your myquack bookings to your calendar
Your bookings page gives you a private calendar link. You add that link to your calendar app once, and every confirmed booking shows up there from then on without you doing anything else. The link is one-way and read-only: bookings flow from myquack into your calendar, so editing or deleting the entry in Google or Outlook does not change the booking here.
Google Calendar
- On your bookings page, click Copy link.
- Open calendar.google.com on a computer.
- In the left sidebar, hover over Other calendars, click +, then From URL.
- Paste the link and click Add calendar.
Do this on a computer — the Google Calendar phone app cannot add a calendar by link. Google also decides how often it re-checks the link, usually a few hours and sometimes up to a day, so a booking made this morning may only appear later. Apple and Outlook refresh faster.
iPhone or iPad
- Open your bookings page on the phone and tap Add to my calendar. iOS recognises the link and offers to subscribe — tap Subscribe.
- If nothing happens, tap Copy link instead, then go to Settings → Apps → Calendar → Accounts → Add Account → Other → Add Subscribed Calendar (on older iOS versions it is Settings → Calendar → Accounts). Paste the link, tap Next, then Save.
Mac (Calendar app)
- Click Copy link.
- In Calendar, choose File → New Calendar Subscription.
- Paste the link and click Subscribe.
- Set Auto-refresh to every 15 minutes or every hour.
Outlook on the web (Microsoft 365 or outlook.com)
- Click Copy link.
- In Outlook go to Calendar → Add calendar → Subscribe from web.
- Paste the link, give it a name, and click Import.
Outlook for Windows (desktop app)
- Click Copy link.
- Go to File → Account Settings → Account Settings → Internet Calendars → New.
- Paste the link, click Add, then OK.
2. Import — bring bookings in from another platform
If you already take bookings somewhere else, upload an export of that calendar here. Those times are then marked as busy on myquack, and the booking form will not offer a client a slot that clashes with one — that is what stops you being double-booked. Imported entries are visible only to you on your own calendar; clients never see their titles or details.
An import is a once-off snapshot, not a live connection. If your other calendar changes later, export and upload it again.
Where to get the file
- Google Calendar — Settings (the gear icon) → Settings → Import & export → Export. You get a .zip file; unzip it and upload the .ics for the calendar you use for work.
- Apple Calendar (Mac) — select the calendar in the sidebar, then File → Export → Export… and save the .ics.
- Outlook for Windows — File → Open & Export → Import/Export → Export to a file → Comma Separated Values, choose Calendar, and save the .csv.
- Calendly — open Scheduled events and use Export to download the CSV.
What the file needs
We accept .ics, .csv, .tsv and .xlsx (Excel) files up to 2 MB. An .ics file works as it is — there is nothing to set up. A spreadsheet needs a header row, and one of the columns has to be a date:
| Column | Headers we recognise | Required |
|---|---|---|
| Date | Start Date/Time, Start Date, Datetime, Date, Day, When, Start | Yes |
| Start time | Start Time, Time, From | No |
| End | End Date/Time, End Date, End Time, End, Finish, To | No |
| Title | Title, Summary, Event, Event Type, Name, Subject, Service, Appointment, Description | No |
- Dates can be written 2026-08-14, 14/08/2026, 14 Aug 2026 or Aug 14, 2026 — with or without a time after them.
- Anything with no end time is treated as a one-hour slot.
- Rows we cannot read are skipped rather than failing the whole upload, so a messy export is usually still fine.
- Uploading the same file twice is safe — anything already imported is not added again.
- Clear imported removes every imported entry at once. It never touches your real myquack bookings.
3. If something goes wrong
- "Couldn't find any bookings in that file" — the spreadsheet has no header row, or no column that looks like a date. Rename that column to Date and upload again.
- Google gave me a .zip — unzip it first and upload the .ics file inside. We cannot read a .zip.
- Nothing has appeared in Google Calendar — give it a few hours, as Google sets the refresh interval, and check you pasted the copied link rather than typing it out.
- The times are out by an hour or two — check the timezone set in your calendar app. myquack shows times in South African time (SAST).
- I want to stop the sync — delete the subscribed calendar in your calendar app. Your bookings on myquack are not affected.
